Context

Every day, the bank’s operations center receives the sealed bags from the various branches across the country. These bags are transported by the bank’s internal courier service or by external service providers; In all cases, they are considered strategic to the smooth running of the bank;

On receipt at the operations centre, each bag is assigned to a specific department for processing according to its contents;

Transporting them is a costly and risky operation for the Bank – delays, misdistribution or missing bags being particularly damaging.

Objective

Ensure reliable, systematic tracking of bags in and out of the operations center, and between branches and the operations center.

Solution implemented

A unique identifier is assigned to each bag in the form of a sequential barcode. This identifier is read in and out of the operations center, as well as in each branch. For each reading, the employee must specify, depending on their position, information such as:

  • the final recipient,
  • the carrier to whom the bag is entrusted,
  • the name of the sender,
  • signature (for registered mail only);

The input terminal associates the date and time of input with this data.

The application takes account of public holidays and weekends, and alerts you if there is any delay in the ‘normal’ processing of the bag; In the event of delay or non-compliance, the employee must give a reason;

At the operations centre, a dedicated interface enables reports and statistics to be produced on processing times, the frequency of non-conformities depending on the carrier, etc;

At all times, the operations centre knows exactly where all the bags in circulation are and how long they have been in circulation;

The statistics enable them to clearly identify the critical points in their process and improve them; In addition, monitoring lead times enables us to have informed and concrete discussions with the service providers in charge of transport;
